At each AGM, approval will be given to the allocation of members to the roles listed below
Musical Director / Conductor
- Lead the Choral Society
- Liaise with Chair, Vice Chair, Treasurer and Secretary as appropriate
- Book soloists and accompanists
- Consult regarding concert dates and locations
Chair
- Chair Committee meetings (3 per year) and the AGM meeting
- Consult on agendas and keep meetings on track
- Be available for Choir and Committee members problems and issues
Vice Chair
- Deputise in the absence of Chair
Treasurer
- Maintain bank accounts
- Pay professionals
- Pay bills and invoices
- Keep accurate records of Income and Expenditure
- Transfer funds to and from COIF to ensure accounts are not overdrawn
- Collect annual subscriptions and chase up defaulters
- Take payment for tickets
- Arrange for accounts to be audited at the end of the financial year
- Lead the Committee in exploring grant funding options
- Design and print posters, programmes and tickets
- Be point of contact for Charity Commission
- Provide Gift Aid administrator with information needed for them to fulfil their role
Secretary
- Send out emails containing Choir information to members
- Give out new members’ information forms and add to and maintain the databases of members’ records
- Create sign in sheets termly and sign in members on each evening – report numbers to MD (when required)
- Read and reply to emails sent to the Choir email address.
- Take and type up minutes at meetings
- Maintain the various Choir policies and reports required for the Charity Commission regulations
- Greet new members and allocate the to a voice representative on the joining evening
- Be point of contact for any issues (choir related)
- Be responsible for social media and press
- Liaise with IT advisor for keeping the website updated
- Be a point of contact for ticket sales
- Act as Stage Manager (following MD instructions) for concerts
Gift Aid Administrator
- Collate forms, make claim and submit the annual Gift Aid return to HMRC
IT Advisor
- Manage and maintain website
- Manage and maintain the membership records system and central filing system
- Produce and publish voice part rehearsal tracks
Voice Representatives
- Welcome and greet new members, introduce them to others
- Attend Committee meetings
- Contact any member who has a prolonged absence (with the secretary) on welfare grounds
